The short answer

Residents decide whether to stay long before the renewal letter arrives. They decide every time something breaks. Fast, well-communicated maintenance is one of the strongest renewal levers a property has, and it costs far less than replacing a resident.

Why it matters

Every move-out means lost rent, cleaning, repairs, marketing and screening. Industry estimates put a single turnover at $1,000 to $5,000, depending on upgrades (NAA). Across a 200-unit property, even a few avoided move-outs a year add up quickly.

By the numbers

In AppFolio's 2026 survey of 3,002 US renters, satisfaction with maintenance and communication lined up closely with plans to stay:

What renters saidSatisfiedUnsatisfied
Plan to renew, by maintenance satisfaction56%31%
Plan to renew, by communication satisfaction55%38%
Would recommend their property manager, by maintenance satisfaction83%28%
  • Residents satisfied with maintenance are 36% less likely to move in the next 12 months.
  • 39% of renters plan to move in the next 12 months, up from 35% the year before.
  • 66% prefer a phone call for emergencies. For non-emergencies, they prefer email (51%) or text (43%).

The playbook

  1. Answer every maintenance call, including after hours. Two-thirds of residents call when it's urgent, so a voicemail box is the first point of failure.
  2. Triage on the first call. Capture the unit, the issue, photos and urgency so the right person goes out once.
  3. Confirm, then update. Send a text when the request is logged and again when a technician is scheduled. Communication alone moves renewal intent.
  4. Close the loop. A one-question follow-up ("Is everything working?") catches problems before they become reviews.
  5. Track time to resolution. Residents who wait weeks are the ones planning to leave.
